This policy explains what personal data Proaireon Technologies ("we", "us") collects, why, how long we keep it, who we share it with, and how you can ask us to correct or delete it. It covers our website proaireon.com, our CRM product Resolve (including its website chat assistant and WhatsApp assistant), and work we do under our Nexus Stack brand. Nexus Stack and Resolve are brands of Proaireon Technologies.
1. Who we are
Proaireon Technologies is a sole proprietorship registered in India (Udyam registration UDYAM-TS-25-0092831).
Based in Hyderabad, Telangana, India.
Phone: +91 63014 89215 · Email: hello@proaireon.com
2. Our role
- Our website and our own customers. When you visit proaireon.com, contact us, or sign up for Resolve, we decide how your data is used (under India's Digital Personal Data Protection Act, 2023, we are the "Data Fiduciary").
- Data inside Resolve. Businesses use Resolve to manage their own customers and enquiries. When you chat with a business's website assistant or message its WhatsApp number, that business decides what is collected and how it is used. We process that data on the business's behalf and only to provide Resolve to them. If you have a question about how a business uses your data, please contact that business first. You can also contact us and we will help.
3. What we collect
Visitors to proaireon.com
- This website does not use cookies, analytics or advertising trackers.
- Our hosting provider keeps standard server logs (IP address, browser type, page requested, date and time) for security and to keep the site running.
- The contact form opens your own email app. We receive only what you choose to send us, such as your name, email address, phone number and message.
Resolve account users (the businesses that use Resolve and their staff)
- Name, email address, phone number, business name and role.
- Login and security information, such as sign-in times and IP addresses.
- What you add to your workspace: leads, notes, follow-up dates, stages, settings and documents uploaded for the assistant.
People who contact a business through Resolve
When a business uses Resolve's assistants, we process on that business's behalf:
- Website chat: the messages you type, and your name, phone number and any other details you choose to give (for example, your requirement or budget).
- WhatsApp: your WhatsApp phone number, your WhatsApp profile name, the content of messages you send to the business's number and the replies sent to you, with message IDs and timestamps. These are received through Meta's WhatsApp Business Platform.
- Leads: the lead record created from your enquiry (name, phone number, details, source such as "Website chat" or "WhatsApp"), and notes and follow-ups the business's staff add later.
- Technical data: IP address, the website the chat was opened on, and timestamps, used to limit spam and abuse.
Please do not share sensitive information such as health, financial or identity-document details in a chat. The assistant does not need it.
4. Why we use it
- To provide Resolve: answer questions in chat and on WhatsApp, create leads, and let the business's team follow up.
- To reply to enquiries sent to us and to provide support.
- To keep our services secure: preventing spam, fake leads and abuse, and investigating problems.
- To meet legal, tax and accounting obligations.
We do not sell personal data, we do not use it for advertising, and we do not use businesses' chat, WhatsApp or lead data to train our own AI models.
5. How the AI assistant works
To write a reply, Resolve sends your message, recent messages in the same conversation, and relevant passages from the business's own documents to a third-party AI model provider, which returns a suggested answer. Your name and phone number are collected by fixed questions inside Resolve and are not needed for the AI reply. Answers are generated automatically and can be wrong; the business is responsible for the information in its documents.
6. Who we share it with
We share personal data only with the service providers we need to run our services, and only for that purpose:
- Amazon Web Services (servers and file storage, Mumbai, India).
- Supabase (databases, in India and Japan).
- Vercel (hosting for this website and the Resolve web app).
- Meta Platforms (WhatsApp Business Platform, for WhatsApp messages).
- AI model providers (currently DeepSeek for generating replies and OpenAI for searching documents).
Some of these providers process data outside India. We may also disclose data if the law requires it, or to protect the rights and safety of our users and the public.
7. How long we keep it
- Enquiries sent to us: as long as needed to reply and follow up, and no longer than 2 years after our last contact, unless you become a customer.
- Data in a Resolve workspace (leads, chat and WhatsApp conversations, documents): for as long as the business keeps its account, or until the business deletes it. When a business closes its account, we delete its workspace data within 90 days.
- Spam-protection data (such as per-IP counters): usually no more than a day.
- Billing and tax records: as long as Indian law requires (usually 8 years).
8. Your rights
Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you can ask us to: tell you what personal data we hold about you; correct or update it; delete it; or withdraw consent you gave earlier. You can also raise a grievance with us (see section 12) and, if you are not satisfied, with the Data Protection Board of India.
9. How to ask us to delete your data
To ask us to delete your personal data, including chat or WhatsApp conversations with a business that uses Resolve:
- Email hello@proaireon.com with the subject "Data deletion request", or call +91 63014 89215.
- Tell us the phone number or email address you used and, if you know it, the name of the business you contacted.
- We may ask you to confirm the request from that phone number or email address so we know it is really you.
We will reply within 7 days and complete deletion within 30 days, unless we must keep some data by law (for example, billing records). Where the data belongs to a business that uses Resolve, we will delete it on that business's instruction or tell the business about your request. To stop receiving WhatsApp messages from a business, you can also block its number in WhatsApp.
10. Security
Data is sent over encrypted connections (HTTPS). Each business's data is kept separate from other businesses' in our database, staff access is limited to what is needed, and credentials such as WhatsApp access tokens are stored encrypted. No system is perfectly secure, and we will tell affected users and the authorities about a personal data breach as the law requires.
11. Children
Our services are for businesses and adults. We do not knowingly collect personal data from children under 18. If you believe a child has given us personal data, contact us and we will delete it.
12. Contact and grievances
